This is a friendly reminder that May 15, 2013 is the deadline for voters to respond with a Request for Continuation of Registration.  After 5p.m. on Wednesday, May 15, 2013, G.A.B. technical staff will run a batch process in SVRS to inactivate the voter records of individuals who did not respond to the Notice of Suspension of Registration sent on April 15, 2013. Voters who did not respond with a request for continuation of registration will be given a status of “Inactive-4 Year Maintenance” in SVRS.  It is very important for clerks to record any Applications for Continuation of Registration in SVRS before 5 p.m. May 15, 2013.  Clerks should also continue to record postcards that are returned as undeliverable.  

Many clerks have asked, “Why should I record the undeliverable postcards if the voter records are going to be updated to Inactive status on May 15, 2013?”  Here are two important reasons why the G.A.B would like clerks to record the postcards that are returned undeliverable:

  • Processing the undeliverable mailings in SVRS documents a reason why a voter record was made Inactive.  By recording the mailing as undeliverable the clerk will maintain accurate records in SVRS for any voter that had their voter record inactivated.  By recording the mailing as undeliverable the clerk will know they have and can produce the returned postcard if a voter wants to know the reason their record was inactivated.
  • Recording the undeliverable mailing in SVRS helps the G.A.B. provide more accurate statistics about the Four-Year Voter Records Maintenance process.  Accurate statistics on how many postcards get returned as undeliverable and how many simply never come back will help the G.A.B. and the Legislature evaluate the effectiveness of the current process and explore possible alternative methods of record maintenance.
