Revised Subgrant Documentation

Revised subgrant MOU/reimbursement-request forms & NEW subgrant requirement of providing WEC equipment inventory list

  1. SUMMARY

    All current and future WEC subgrant programs contain revised language in the Documentation section that more specifically highlights the federal requirements regarding the mandatory equipment inventory list and includes a new subgrant requirement that you provide to the WEC your inventory list for any Equipment purchased with subgrant funds. There is also a new Equipment Inventory List template in Excel posted for this new subgrant requirement.

  2. DETAILS

    For the three currently offered subgrants (2023 Absentee Ballot Envelope Subgrant, 2023 HAVA Election Security .gov Email Domain Subgrant, 2023 Accessible Voting Equipment Subgrant), we have posted to our website new versions of the MOU and Reimbursement Request Form that contain revised language in the Documentation section. In this revised documentation section, the federal requirement to create and maintain an inventory list is highlighted, the specific information this list must contain is detailed, and there is a new WEC subgrant requirement to provide to the WEC your inventory list for any Equipment purchased in part or in whole with subgrant funds. A new Equipment Inventory List template in Excel is also posted for jurisdictions’ use in fulfilling this new requirement.

If you have already submitted your MOU/Reimbursement Request Form for any of these three subgrants, you do not need to resubmit. Going forward, however, these new versions must be used. Furthermore, since the equipment inventory list pertains to the 2023 Accessible Voting Equipment Subgrant, all jurisdictions who have already submitted their reimbursement form are also asked to follow the new requirement to provide to the WEC your inventory list for any Equipment purchased in part or in whole with subgrant funds and are still required to follow the federal requirement of creating and maintaining the inventory list with all the required information. We appreciate your cooperation.

    Use the new versions (“Rev 09-2023”) of the subgrant MOUs that are posted on our website and submit to the WEC your completed inventory list (for the Accessible Voting Equipment subgrant).
