SVRS (version 8.2) will be installed Saturday, July 21, 2012.  The new version of SVRS includes enhancements to improve data maintenance and data quality.  Clerks are reminded that before every election, Geocode Exceptions and Boundary Exceptions must be verified in order to ensure voters are place in the correct district.

SVRS 8.2 also includes several new Application Source Codes related to Military and Overseas absentee voters.  These new codes are needed as we prepare for the upcoming launch of the Comprehensive Online Request and Ballot Delivery System.  Additional information regarding this new application will be provided soon.

The following is a summary of the SVRS updates included in SVRS (version 8.2) and what clerks can expect to see as a result:

  • The number of Boundary Exceptions in your municipality may increase.  Boundary Exceptions are not an error; they are addresses that are within 50 meters of a district or municipal boarder.  Most voters will appear in the correct district.  However, they will need to be verified and some may need to be corrected.  With SVRS (version 8.2), Boundary Exceptions for any new addresses entered into SVRS will be created on a nightly basis.  Initially some municipalities may see a dramatic increase in Boundary Exceptions.  For convenience purposes, please refer to the attached excel spreadsheet for the projected number of Boundary Exceptions in your municipality: (Projected Boundary Exceptions By Municipality.xlsx)  Please note: Boundary Exceptions will be generated for new addresses only; any Boundary Exceptions that you have already verified will not be affected.
  • A fix has been installed to correct an issue where mailing addresses with a blank address line (1) were being given an incorrect mailing address.  SVRS will now prevent users from creating a mailing address with a blank address line (1).  Municipalities with mailing addresses that currently contain a blank address line (1) will be contacted individually with instructions on how to correct the mailing addresses for those voters.
  • When entering a new voter application, clerks will now see the following additional choices for the Application Source: Federal Postcard Application – via mail, Federal Postcard Application – via email (Military Only), Federal Postcard Application – via fax (Military Only), Online Registration – (Military Only).  This adjustment is necessary per the new Comprehensive Online Request and Ballot Delivery System.
